The program is a collection of approximately 15 projects that focus on event scheduling, event registration and integrations with service tools:
- Campus Event Scheduling (Spring 2020):
- Transition University Events team from EBMS to EMS
- Enhance processes for scheduling and billing Athletic events in EMS
- Assess Event Management Registration Tool (Spring 2020):
- Provide seamless event guest experience across different departmental campus events
- Provide a deluxe, robust tool that individual departments could not afford independently
- Select a tool while generating buy-in and awareness across departments
- Determine how departments will pay for use of the tool
- EMS G-Suite Integration Pilot (Spring 2020):
- Integrate the EMS web app and Google calendar. Spaces in EMS can be booked through Google calendar
- Integrate EMS and Facility Management (AiM) (Summer 2020):
- Eliminate the need for manual entry of facility details and maintenance
- Upgrade EMS 2020 (Awaiting Prioritization):
- Expedite event scheduling via mobile devices and G-Suite integration
- Enhance Event and Space Reporting (Awaiting Prioritization):
- EMS data to the EDW. Expand reporting capabilities for spaces and events
- Integrate EMS and Banner Financial (Financial Toolkit) (Awaiting Prioritization):
- Reduce duplication of effort around invoicing and payments
- Integrate EMS and AiM Work Orders (Awaiting Prioritization):
- Reduce duplication of effort and manual entry of Work Orders for events
- Integrate EMS and Catering (Awaiting Prioritization):
- Transition Catering to EMS or make EMS the front-end tool for Catering and reduce duplication of effort around catering schedules
- Integrate EMS and Lockshop systems (Lenel) (Awaiting Prioritization):
- Reduce duplication of effort around scheduling Elevators and Door locks for events
- Integrate EMS and Event Staff Hours/Cost (UltraTime/When I Work) (Awaiting Prioritization):
- Allow event staff hours and costs to be automatically included in the invoice
- Integrate Event Registration Tool and CRM (Salesforce) (Awaiting Prioritization):
- Expedite front-end event services for campus event planners
- Enriched CRM constituent data will allow for better selections for campaigns and events
- Integrate EMS and Sales Force (Sales Process) (Awaiting Prioritization):
- Reduce duplication of effort around event contract information
- Reduce manual entry of constituent information
- Enhance constituent data by adding event attendee information
