Upgrade Options

  • Tracey: Circ is interested in rep_change #002256, to fix problem with delay in circ return when item has a long log list.
  • rep_change #002186: fix problem with dates prior to 1800 in item serial tab
  • rep_change #002189: Items API, retrieve items by HOL record, would be nice to have
  • Possible windows: between summer/full (July-Aug) is preferred. Other options were May intersession or December.
    • SP testing following FYEC.

Announcements

  • Justin: Custom fix routines
    • Add cutters to call numbers (050 or 090)
    • Pull DOIs from URLs and add to 024 7_ $2doi.

  • GUI, ITEM serial information tab – Date fields earlier than 1800 are not valid. This has been corrected (rep_change #002186).
  • The new expand_doc_bib_avail_hol expand routine has been added to display availability information (AVA field), based on the holding records rep_change #002189).
  • RESTful API, Items service – A new filter has been added to retrieve the items list by holding record (rep_change #002189).

Irish 1 Card Update

  • May 2017 for production
  • Looking at using Omnicard reader with Raspberry Pi to do web service lookup (CSN to ID)

Aleph Server Migration

  • Last December moved Aleph to a virtual server.
  • Now moving underlying virtual server software from Red Hat to VM
  • About 1 hour downtime.
  • Primo would still run, but not get updates
  • Tracey will check on open hours during break

DocDel / InterMALC requests during break

  • Staff will be out Dec. 24-Jan. 4
  • Last year used banner to indicate that requests would not be processed.
  • Will put banners on library home page, Primo headers, and Aleph OPAC

Courtesy Notices

  • ND sends out courtesy notices 3 days before an item is due.
    • This applies to all item statuses. (If an item has a loan period of less than 3 days no notice is sent)
  • Graduate Student Library Advisory Panel asked if MALC partners could also send notices.

Patron Purge / Scrubbing

  • ND will scrub circ logger after 30 days, other tables the same night
  • Will delete transactions from circ logger after 18 months.
  • Patron record purge
    • Revised to catch more patrons
    • Modifying so it can be run on a schedule
  • Will decide on patron statuses, how long expired, and time frame next meeting.

Statistics posted online

  • Have been posting monthly statistics online.
  • MALCs have not been able to access because of the firewall.
  • Do we need to continue maintaining the website?

Annex

  • MALC directors noticed requests from their libraries for materials in Annex.
  • Was this perhaps during the summer when Annex copies were not retrievable?
  • Hesburgh has had a complaint about loan periods for journals. Because of delivery times, a journal that had been requested was already overdue when the patron received it. Will consider extending loan time for bound journals (referred to Cheri and Lou).

Circulation Notices

  • Adapted script from MIT to send email notices from the server, instead of using the Print Daemon.
  • Justin and Tracey have been revising the templates to be more uniform.
  • After Christmas, will implement, so that Print Daemon will only handle printed notices, no email.

Records without Holdings

  • About 28,000 Bib Records w/o holdings/items
    • Large portion (20K) appear to be attempted deletes with LDR field only
  • May be good to focus on records with valid OCLC numbers (in case our symbol is in OCLC)
  • May be microforms
  • Special collections in process records
  • Doc Center records
  • Will run reports for each MALC

Update on Enumeration Chronology.

Lisa and Justin worked together to clean up of Like Item information.  This problem goes back to the issue with PRIMO that would only show one volume of a multi-volume set.  80,000 items were found to Like another piece.  About 40,000 appeared to be actual duplicates (Like items).  1,000-2,000 the script didn’t know what to do with it.

 

Patron scrubbing.

Recently discovered all the tables are not being scrubbed of patron data since the last upgrade in December 2014.  Do we want to make changes to scrub procedures? Current procedure was done every night.

CIR-32 specifies which tables we want to scrub.  Can exclude tables we want to scrub at another date.

Saint Mary’s feel we should continue to scrub. We can have different scripts for different institutions.

Aaron prefers to use the CIR-32 script instead of the old SQL script for scrubbing. The job didn’t exist when the SQL was developed.  Advantage is that you can specify what tables

Start with a meeting with Cheri and Mark.

Annex update

  • Hallet is onsite to begin discuss phase two.
  • Cheri Smith is having Graduate Students are looking up requests to see if we own electronically.
  • Number of requests are slowing down.
  • Sean is working at 6:30am-3pm to open the Annex for Spacesaver.

Annex Update

  • Up and running
  • Pulling requested materials
  • Not doing processing (e.g. scanning) because office area is not done
  • First week: 63 doc del and 29 ILL requests
  • IMS was returning 1st 50 items
    • Now returns all items
    • Added ability to put barcode into ILLiad
  • Clean up from Hallett ingest
  • Question: Will we provide article scanning for undergrads? This is a staffing issue
    • If we provide scanning, should be all or nothing. It would be confusing to provide for annex only.

Enumeration Issues

  • Volumes are de-duped twice, once by  Aleph, once by Primo. Primo de-dedup being fixed to look at all enum levels, but still have data issues with missing enum fields.

Other

  • Will schedule Primo-MALC meeting at Saint Mary’s.
  • Inter-MALC deliveries. May be another copy available, e.g., Hesburgh and Saint Mary’s. It is OK to move hold to available copy (except when needed for reserve).
  • SJCPL program is operational. Have issued 12 cards. Have had 1 pickup.
  • Campus Card update

Introductions

  • New time: 2nd Tuesday at 1:00.
  • Aaron will check on listserv status, add new members and remove old members.

Service Pack

  • Test server for Server Pack. Client is in the Aleph 22 Upgrade client folder (Google Drive).
  • Cataloging fix for Correct Headings
  • New option for printing. Now includes option for “view html” which gives the old print style (browser). This allows you to set NewPrintType=Y and still copy/paste.
  • Upgrade will most like be the 2nd Wednesday of June.

Law Library

  • Planning to onboard law library in Aleph.
  • Time frame is still under discussion.
  • Have gotten some initial quotes

Annex

  • All materials (LL and 10) going to the Annex have been pulled, and have been updated in Aleph.
  • Barcoding team is working on materials for next phase. Currently on 2nd Floor, then will move to 4th and 9th.
  • Some barcoding team members have been trained for clean up.

Issue with Macros

  • On some computers that have been reimaged, the Macro to insert the “new” and “auth” dates is using the wrong indicators (99 instead of 01 and 10). Justin will check on records affected. Need to find if this impacts Marcive processing.
